We are an established practice, with an innovative, minimally invasive & robotic Surgeon
and associate (physician).

Our practice is located in East Melbourne, which is light and modern and has views that
need to be seen to be believed.

Our vision is to provide excellent service and a seamless journey to all our patients, and we

our specialties, an empathetic manner is mandatory, and we like to reflect this through the
practice.

About you
We are seeking a Director of First Impressions, a warm, empathetic, experienced, selfmotivated and customer service-minded Medical Secretary for a permanent full-time role. Here is your chance to shine!
This role is about providing that first contact with our patients – your excellent presentation,
whether verbal, written or in person is essential. You pride yourself on your unflappable warm manner, who loves to make a difference in our patients’ lives. Candidates with a GP background are welcome to apply, who would like to further your career! We will provide training for the selected candidate who displays great work ethic, and enthusiasm for upskilling.

This is an opportunity for a warm and empathetic Medical Secretary to assist our established Specialist with our paper lite practice. You thrive being the gatekeeper, and go to member of our team.

As the pivotal member of our team, you will need to demonstrate an exceptional commitment to maintaining our systems, so our practice runs at its optimum and ensures we provide exceptional patient care. You pride yourself on your ability to think outside the square, your attention to detail skills, and displaying initiative

Our ideal candidate will have the following:

  • Experience using Genie – or similar medical software programs
  • Excellent communication skills with a positive and friendly manner and can-do
    attitude – a real team player – loves to take initiative
  • Marketing skills to assist us to building our practice including social media management. Along with managing and holding GP events including website building assistance (viewed highly)
  • Experience at a Surgical Medical Practice ( viewed favourably)
  • Outstanding customer service and strong attention to detail skill level on all aspects of the Senior Medical Secretary role)
  • Theatre bookings and Surgical billing (and quoting) experience (viewed highly, but we are happy to train)
  • Ability to work independently with initiative and also love being part of a team and to lead the way with your impeccable verbal, written and personal presentation.
  • You pride yourself on your attention to detail and thrive in implementing and maintaining systems.
  • Ability to work well under pressure and to multi-task in a busy environment, allowing our Specialists to do what they do best – being Clinicians.
  • IT Savvy with great troubleshooting skills.

Responsibilities will include:

  • Developing and implementing new and maintaining existing practice systems
  • Managing consulting sessions and meet and greet
  • Welcoming patients into the practice and answering phone calls/emails in an efficient, friendly and courteous manner
  • Delivering exceptional customer service at all times (cannot be overstated)
  • Scheduling and managing patient appointments (training provided if required)
  • Performing general administrative duties such as scanning, faxing, mail sorting, filing, and following-up patient inquiries
  • Supporting and assisting our Surgeons in a range of administration and ad-hoc tasks.
  • PA duties for the Surgeon and ad hoc admin duties as required.
  • End of day, week and month reporting via Genie.

Appropriate above award remuneration based on skills and experience.

Days/Hours:
Monday
8:30am – 5:00pm (30-minute unpaid lunch)
Tuesday to Friday
9:00am – 5:00pm (30-minute unpaid lunch)
