About us
We are an established practice with three Surgeons located in Moonee Ponds and East Melbourne. Our vision is to provide excellent service and a seamless journey to all our patients, and we would love you to join us in ensuring this occurs. You will be working with our three lovely Surgeons. Parking is provided onsite.

Currently, we have a Practice Manager and four other administration staff to assist the practice.

About you
This is an opportunity for a warm, self-motivated, customer service minded and empathetic Medical Secretary to use their extensive experience/skillset to assist our Practice Manager in running our practice.  This position will commence in July/August. You will predominantly be looking after our Reception staff, being their first port of call for any troubleshooting or challenges.

You pride yourself on your ability to think outside the square, your attention to detail skills and being able to display initiative.  You love to work closely with your team and assist them in attaining higher skills. When our Practice Manager is on leave, you will have the opportunity to upskill to cover her duties (pre-training will be provided).

Travel will be required across our two sites (you will be given prior notice of this) as per our practice roster. You will not be required to travel between sites during work.

Our ideal candidate will have the following:

  • Experience using Genie – or similar medical software programs
  • Excellent communication skills with a positive and friendly manner and can-do attitude – a real team player – loves to take initiative
  • Experience at a Surgical Medical Practice (mandatory)
  • Professional appearance and demeanour (with outstanding customer service and strong attention to detail skill level on all aspects of the (Medical Secretary role/2IC) role.
  • Theatre bookings and Surgical billing (and quoting) experience (Eclipse experience viewed highly) – as most of our staff perform this task.
  • Ability to work independently with initiative and also love being part of a team, and to lead the way with your impeccable verbal, written and personal presentation.
  • You pride yourself on your attention to detail and thrive in maintaining systems
  • Ability to work well under pressure and to multi-task in a busy environment, happily being the assistant gatekeeper for our Surgeons, allowing them to do what they do best – being a Surgeon.
  • IT Savvy with great troubleshooting skills
  • Meet and Greet experience (including running a consulting session)

Responsibilities will include:

  • Managing consulting sessions and meet and greet (assisting Reception staff, and relief when required)
  • Delivering exceptional customer service at all times (cannot be overstated)
  • Scheduling and managing patient appointments
  • Assisting with staff rosters
  • Undertaking Theatre bookings and Surgical billing including patient billing and processing of payments
  • Performing general administrative duties such as scanning, faxing, mail sorting, filing, and following-up patient inquiries
  • Overseeing our Reception team, ensuring the team is functioning well.
  • Supporting and assisting our Surgeons in a range of administration and ad-hoc tasks.
  • Enjoy being flexible to assist our Surgeons and practice

Appropriate above award remuneration based on skills and experience.

Days/Hours:

Tuesday to Friday

8:30am till 6:00pm (paid 30 minute lunch break) (full time wage for 4 days per week)
