Transitional Marketing
Seamless transitions for your practice
Our experience shows that you will undergo several business transitions throughout your private practice journey. Typically, this can mean;
- Relocating your rooms
- Adding a consulting location
- Starting a new entity/practising under a new clinic name
- Leaving a group practice to go solo (voluntarily or involuntarily)
- Merging practices with a colleague
- Taking over the practice of a retiring mentor
- Retiring yourself or moving on to a new role outside of private

The Importance of Transitional Marketing:
When these transitions occur, our experienced team can support you to ensure the changes are as smooth as possible, typically with little impact on your income and referral base. We have helped many doctors through these processes and can advise you regarding the best way to go forward. We have seen what works and doesn’t. Our process is to meet with you to find out what you need and hear what is happening regarding your situation. From there we can advise what will work best to be compliant and ‘tick the box’ with AHPRA (and other governing bodies as applicable).
Building strong referrer relationships is an essential component of maintaining and growing a successful practice. The way you handle practice transitions can significantly affect your referral base, having a significant impact on your profit, growth and referrer retention. When handled well, your practice can continue to run seamlessly during transitions.
How RWS can help:
We can provide any or all the following tasks depending on your ‘transitional’ situation:
Communication with referrers
This means ensuring your referrers and other stakeholders (e.g. pathology, hospitals, imaging companies) are aware of the changes prior to your move and their systems are brought up to date. RWS work with you to prepare and send a series of timely notifications to your referrers ensuring they feel comfortable with the changes and have time to ask questions. This is an important step to get right to ensure your current referrers are retained. Also, this process provides reassurance that their patients will continue to receive great care.
Communication with patients
We will develop a plan with you for the best ways to communicate to your patients. Letters can be sent via your medical software. Also, our team can notify your current patients to ensure they know where to find you and confirm they are aware of the plan in place for their continued care. The RWS reception staff will work with you to ensure we can answer the common questions patients may have too.
Online presence
Our team will ensure your website and online portals are up to date with your new information. Adhering to AHPRA guidelines we can ‘tick the box’ on all requirements and if needed, we can create a new website for you. If you need social media activities, we can design and disseminate posts for you, closely abiding by AHPRA standards.
Logo, branding and stationery
Depending on your circumstances you may choose to take on an existing practice brand or wish to create a completely new branding look. Our team can talk you through your options and the pros and cons for each pathway. Regardless of what you choose we can update any existing stationery to ensure your details are current or create new stationery.
Marketing to attract new referrers
Many of our doctors wish to market new potential referrers once they have moved. This particularly applies to you if moving to new locations where referrers do not know you.
Set up MOU agreements
We can help you set up MOU agreements between you and other doctors at your new practice. This document is suggested in cases where you are simply renting an additional room. RWS knows how doctor’s work and the potential challenges that come from working together.
Legal and accounting support
We work with your legal and accounting teams to ensure correct set up. If needed, we can introduce you to trusted industry partners of RWS who have helped many of our doctors over the years.
Staffing
Should your transition involve the need to roll-over staff entitlements or conclude your obligations to your staff we can handle this for you. In our experience, this can be a stressful component of practice change for doctors so let us support you and explain what other doctors do in similar situations to yours.
Recruitment
If new staff are required, we provide a recruitment service.
Practice set-up and Virtual Reception
Can be provided and can include a Practice Health Check of all your systems. If you find yourself without anyone to man the phones, we can also cover your Virtual Reception for you.
Rooms
If you require, we can assist with Interior Design, plans, permits and sourcing a new location for you. Our experienced team is here to guide you through the practice transition. We have been supporting practices since 2005 and can provide the guidance to protect your income, retain referral relationships, and ensure a seamless transition.
