Running a private practice involves far more than providing excellent patient care – it also requires effective management of staff, policies, and procedures. One of the most valuable tools a practice can have in place is a tailored practice handbook.
A well-developed handbook brings clarity and structure to your operations. It becomes a central reference point for your team, outlining how things are done and why they are done that way. Crucially, it also provides security for doctors – if key staff are away or leave the practice, the handbook ensures that day-to-day operations can continue smoothly.
Handbooks typically include several document types:
- Policies, which outline the philosophy or intent behind a practice approach (e.g. fairness in leave allocation).
- Procedures, which detail the step-by-step process (e.g. how leave is applied for and approved).
- Proformas or templates, which are the forms staff complete (e.g. a leave request form).
- Reference documents, which are sourced from external authorities (e.g. Fair Work guidance on leave entitlements).
Using a leave policy as an example: The policy may describe the practice’s commitment to fairness and transparency in managing staff leave. The accompanying procedure will explain how leave is requested, approved, and recorded. A proforma might be the leave request form itself, and a reference document could include official Fair Work Australia guidelines.
At RWS, we’ve helped many practices develop their handbooks – often in collaboration with the staff who will use them. This not only ensures relevance but encourages team buy-in.
A practice handbook isn’t just paperwork – it’s a practical, living document that strengthens your practice’s foundation, improves consistency and reduces risk.
